administrative and supervisory staff with vast experience in this
industry.Job Summary:At ICON we are looking for curious, motivated
professionals who want to continue or establish a career in the
world of Community Management. The Administrative Assistant is the
customer service face of our organization and a highly multifaceted
position where you will have the opportunity to collaborate and
support the Property Administrator while they make decisions with
the Board of Directors, Vendors, Owners/Residents, ICON's executive
team, among others. The Administrative Assistant is expected to
coordinate and complete required tasks while maintaining a focus on
providing excellent customer service and having a positive and
contagious attitude.Duties/Responsibilities:Although the day to day
of an Administrative Assistant varies greatly and will rarely be
the same, the key responsibilities are:Proactively respond to
messages and questions from the customers.Provides administrative
support to ensure efficient operation of the community.Answers
phone calls, schedules meetings and supports tenants and
visitors.Carries out administrative duties such as filing, typing,
copying, scanning etc.Manage the daily, weekly, and monthly tasks
of the community.Plan and facilitate Board meetings.Exhibits polite
and professional communication via phone, e-mail, and mail.Help
mitigate any risks in the community.Supports team by performing
tasks related to organization and strong communication.Provides
information by answering questions and requests.Maintains supplies
inventory by checking stock to determine inventory level,
anticipating needed supplies, placing and expediting orders for
supplies.Coordinate vendors services.Contributes to team effort by
accomplishing related results as needed.Any other task that is
necessary for the management of the community.Required
Skills/Abilities:Excellent administrative skills.Ability to
communicate clearly, effectively, and respectfully in Spanish and
English (conversational and written).Knowledge and experience
working with Microsoft Office.Basic bookkeeping
experience.Excellent organizational and multitasking
skills.Education and Experience:An Associate's degree in a related
field, such as office administration, may be preferred.High school
diploma or equivalent education required.3 years of administrative
assistant experience.Knowledge of appropriate software including
Microsoft Word, Excel, and Outlook, Microsoft PowerPoint and Adobe
Acrobat.Knowledge and experience working with Sage and QuickBooks
(preferred).Physical Requirements:Prolonged periods sitting at a
desk and working on a computer.Must be able to lift up to 15 pounds
