Scope of Position

Ensure timely and accurate movement of freight and information, while providing an exceptional customer service within the Transcon Department and remaining focused on Operations, Finances, Sales, People, Systems, and Culture in adherence to the company's policy and procedures.

Key Deliverables

Employee Satisfaction

  • All team members to complete 52 hour training per year (4.33 per month).
  • All team members to complete all mandatory training timely.
  • Participate in annual Employee Performance Evaluations and quarterly 1:1 meetings.

Service Provider Management

  • Ensure to work only with 100% approved Suppliers and vendors.
  • PU&D connectivity

  • Timely notify Team Lead and Supervisor of any scheduled time away and need to cover overtime services.
  • Maintain a neat, clean and organized work area at all times.

Customer Service

  • Courteous and professional communication with customers and coworkers.
  • Timely notification to customers of potential delays related to services rendered.
  • Timely and accurately respond to all customer and internal requests with reliable information. No e-mail should go unanswered over 24 hours. Urgencies typically require <1 hour response. Monitor and work on priorities.

Operations & Compliance

  • Utilize the Transcon Workflow monitor daily and action/resolve any potential shipment issues with sense of urgency.
  • Comply with company controls, policies, procedures, processes.
  • Participate in daily huddle meetings and Supervisor meetings weekly.
  • Provide feedback of Employee Satisfaction initiatives.
  • Contribute to the effective weekly department meetings with team.
  • Comply with all our policies, including the credit policy.
  • Help action the efforts towards meeting budget.
  • Ensure accurate and timely billing of customers and vendors.
  • Effectively execute within the Transcon department, assisting our relentless pursuit of efficiency and operational excellence:
  • Performance Management: Support oversight, including self-assessments and daily, weekly and monthly performance monitoring so that issues (root cause) are resolved proactively.
  • Exception Management: Help key all exceptions to provide visibility internally (controlled) and through interacting with our customers (uncontrolled).
  • Help identify areas to improve efficiency to offer customers better cycle times, service while improving margins.
  • Actively participate in the optimization of systems and tools and continuously improve the efficiency, productivity and quality of the service.

  • Make certain that client specific instructions are followed to properly process shipments and invoices.
  • Properly use all Expeditor systems and tools, especially CFIT, ETMS, CRM, ECO.
  • Log files correctly and timely with proper codes, trace types and events.
  • Ensure that all correspondence within business unit is handled timely and professionally.
  • Maintain highest compliance levels for all applicable Transcon requirements.
  • Escalate issues to Transcon Management team timely when needed.

Security, Health and Safety

  • Responsible to inform immediately to the Branch's Health and Safety representative any unsafe condition that could put employees at risk in the work place environment.
  • Responsible to inform immediately to the Branch's Health and Safety representative any incident or accident, regardless if the affected employee does not look hurt

Finance

  • Comply with all our policies, including the credit policy.
  • Ensure accurate and timely billing of customers and vendors.

Qualifications

To be the most effective in this position we are looking for the following skills and experience:

  • Experience in Domestic Transportation (preferred)
  • Degree (preferred): Bachelor's degree in Import/Export, International Trade or equivalent.
  • Ability to complete work within standard procedures, guidelines and office policies.
  • Commitment to Exemplify our culture at all times.
  • Customer Satisfaction oriented.
  • Attention to detail oriented.
  • Effective interpersonal and communication skills, ability to communicate at all levels written and oral communication and presentations.
  • Able to develop and maintain a professional relationship with clients, service providers and employees.
  • Self-driven personality.
  • Strong organizational and time management skills.
  • Good computer skills, and ability to learn new programs and tools including knowledge of all Microsoft Office applications.
  • Flexible schedule.
  • English and Spanish fluency.
