Responsibilities

The Medical Office Specialist is responsible for secretarial duties using specific knowledge of medical terminology and hospital, clinic, or laboratory procedures. Duties may include scheduling appointments, billing patients, and compiling and recording medical charts, reports, and correspondence. Possess organization and communication skills. Maintains emotional stability and calm disposition, and has ability to relate positively with all levels of professionals. Has ability to adapt to flexible work schedules and frequent interruptions. Possesses willingness to improve. Loyal, reliable, tactful, honest and discreet maintaining confidentiality at all times. Exhibits professional appearance. Must be able to carry out specific assignments to successful conclusion. Has ability to problem solve and make decisions.

Qualifications

Education:

High School Diploma or equivalent required

Medical Office Specialist certificate preferred

Work experience:

Minimum of 3 years' experience as a Medical Office Specialist

Fluent with medical terminology required

Experience with patient check-in and check-out process

Knowledge:

General office operations

Prepares end of day cash balancing and charge reconciliation process

EMR experience required

Skills:

Proficiency in basic computer programs and operating systems, such as Microsoft Office

Excellent communication, organizational and interpersonal skills

Bilingual in English and Spanish preferred

Abilities: Must be able to perform courteously and professionally in all interactions

Equipment Operated:

Office equipment such as fax machine, copier and telephone system

Computer skills

Work environment:

Works in a well-lighted, OSHA Standard environment

May be exposed to infectious and contagious diseases

May be in contact with patients under a wide variety of circumstances

Occasionally subject to irregular hours

May be required to wear personal protective equipment as necessary

Mental/Physical Requirements:

Must be ability to handle emergency or crisis situation

Essential Job Duties

1.

Team Responsibilities:

  • Participates in decision-making and process improvement.
  • Communicates effectively within and beyond assigned team.
  • Focuses on the problem or issue, not the person.
  • Assist with daily clerical operations, including answering multi-phone lines and making copies of documents as necessary.
  • Accurately files patient charts; including scanning documents into files as necessary.
  • Schedules patient appointments as necessary, return visits and Specialists.
  • Other duties as assigned

Clinical Responsibilities:

  • Fulfills patient care responsibilities as assigned which may include: checking schedules and organizing patient flow; accompanying patients to exam/procedure room; assisting patients as needed with walking, transfers, dressing, collecting specimens, preparing for exam, etc.; collecting patient history; performing screenings per provider guidelines; assisting physicians/nurses with various procedures, charting; relaying instructions to patients/families; answering calls and providing pertinent information.
  • Fulfills clerical responsibilities as assigned which may include: sending/receiving patient medical records; obtaining lab/x-ray reports, hospital notes, referral information, etc.; completing forms/requisitions as needed; scheduling appointments; verifying insurance coverage and patient demographics; managing charts to ensure information is completed and accurate.
  • Fulfills organizational responsibilities as assigned which may include; respecting/promoting patient rights; responding appropriately to emergency codes; sharing problems relating to patients and/or staff with immediate supervisors quickly; schedules patients for procedures; calls patients on lab results and medication changes; fill out disability forms, HH orders, Insurance forms for doctors; and, assists doctors with admitting patients.
  • Books, coordinates and reschedules patients appointments; relays necessary messages to staff; greets and registers patients in a prompt, pleasant, and helpful manner; provides necessary instructions/directions. Informs appropriate department/person of patient's arrival; verifies necessary information and records in the medical record; uses computer system to generate information necessary for billing; and, updates patient information, collects co-pays, provides any necessary forms needing completion, obtains signatures as necessary.
  • Maintains and updates current information on physician's schedules ensuring that patients are scheduled properly and appointments are confirmed; answers telephone, screen calls, takes messages, and provides information; answers questions regarding patient appointments and testing; assembles new patients' charts for next day visit; updates profile on all patients; fulfills organizational responsibilities as assigned which may include; respecting/promoting patient rights; responding appropriately to emergency codes; sharing problems relating to patients and/or staff with immediate supervisors quickly; educates patients before and after procedures; maintains schedule; performs appointment follow ups; acts as receptionist as necessary; and travels between facilities as requested
  • Adheres to IPM Safety and Quality guidelines
  • Performs other duties as assigned.

Leadership Essential Responsibilities

  • Acts as a professional role model and mentor to coaches new team members on clinic workflows as related to the front desk and clinical processes
  • Coordinates work schedules and absences of team members
  • Serves as a resource to other members of the team for technical or work challenges
  • Demonstrates and coaches exceptional patient interaction process.
  • Assists the Practice Administrator in day to day operations to deliver the highest quality care to patients in an efficient manor
